With a workforce of more than 3,000 as well as volunteers, Centacare responds to local needs from over 200 service sites, touching the lives of more than 100,000 people each year across Disability & Mental Health, Aged & home Care and Specialist Family Support Services.
The role:
The Scheduling Officer plays a pivotal role in optimising workforce utilisation to ensure cost-effective, compliant, and client-focused service delivery.
This role is responsible for developing, maintaining, and monitoring accurate rosters that align with operational requirements, enterprise agreements, and business rules. You will proactively manage vacant shifts, support workforce efficiency, and maintain clear communication with staff, clients, and stakeholders.
The role may involve rotating hours between 6:00am and 6:00pm, Monday to Friday, with weekend and public holiday on-call requirements as part of the role.
Key Duties:
- Develop and maintain accurate, compliant, and cost-effective rosters to support service continuity and client satisfaction
- Proactively and reactively fill vacant shifts while balancing client needs, staff availability, and operational priorities
- Monitor and adjust schedules to optimise workforce utilisation, minimise overtime, and support effective leave management
- Ensure all scheduling activities comply with enterprise agreements, legislation, and organisational policies, maintaining accurate audit trails
- Analyse workforce data to support planning, forecasting, financial sustainability, and continuous improvement initiatives
- Collaborate with leaders, staff, clients, and families to communicate roster changes and support effective service delivery
- Maintain system accuracy and data integrity, and contribute to improvements in rostering tools, systems, and processes
Skills and Experience: - High level of resilience, flexibility, and strong interpersonal communication skills
- Ability to prioritise tasks, think on your feet, and respond effectively in a fast-paced environment
- Strong organisational skills with a solutions-focused and proactive approach
- Intermediate computer skills, including Microsoft Office
- Experience using workforce management or client information systems (e.g. AlayaCare)
Essential requirements for the role: - Minimum two years’ experience in scheduling, rostering, or workforce planning within aged care, disability, or community services
- Strong data interpretation skills with the ability to make timely, practical scheduling decisions
- Excellent communication, negotiation, and stakeholder relationship skills
- Proven experience analysing workforce data and contributing to continuous improvement
- Experience using workforce management systems with strong attention to data integrity
- Highly organised, adaptable, and resilient, with the ability to manage competing priorities in a fast-paced environment
- Current driver’s licence and required clearances, including Blue Card and NDIS Worker Screening Check
