Jubilee Catholic Parish embraces the communities of St Ambrose (Newmarket), St Brigid (Red Hill), St Finbarr (Ashgrove), St Joan of Arc (Herston), St Mary Magdalene (Bardon), St Thomas More (Petrie Terrace) and Sacred Heart (Rosalie), serving the surrounding inner-north Brisbane suburbs.
Role Overview
The Administration Assistant (permanent part-time,) ensures smooth delivery of services and frontline support. The role is to manage Church bookings, maintain accurate electronic and physical parish records, update sacrament registers, and prepare marriage/baptism paperwork.
The role also entails providing administrative support to the Parish Secretary, including acting as relief during periods of annual and other leave.
We are seeking candidates with strong administrative capabilities, attention to detail, and a warm yet professional manner. Proficiency in Microsoft Office is essential, and familiarity with parish life or a demonstrated willingness to learn is highly regarded.
Key Responsibilities:
- Liaise regularly with external organisations
- Coordinate baptisms and wedding bookings, and follow-ups with parishioners
- Track outstanding external actions and close out tasks
- Ensure privacy/confidentiality when sharing records externally
- General admin: phone/email triage; calendar and bookings; data entry and records (electronic/physical); document prep; filing/archiving; reception cover.
About You We are looking for someone who brings:
- Strong administrative and organisational skills
- Strong MS Office, accurate data entry
- Excellent interpersonal and communication abilities
- Experience in office or parish administration
- Respect for and commitment to the values and teachings of the Catholic Church
- A collaborative and professional approach with the ability to handle sensitive information
- Confidence in managing multiple tasks and priorities
