Family Support Administration Officer

Catholic Early EdCare is looking for a friendly, organised and proactive Family Support Administration Officer to join our team.
This role is ideal for someone who enjoys variety and thrives in a busy administrative environment. You'll be supporting the day-to-day operation of the office, managing multiple inboxes, taking calls, greeting visitors and helping ensure enquiries and administrative tasks are handled efficiently and with care.
As one of the first people our families, visitors and colleagues connect with, your approach matters. We're looking for someone who is warm, approachable and confident communicating with a wide range of people, while also being highly organised and comfortable keeping track of multiple priorities.
Experience in office administration, reception or childcare administration would be highly regarded.
This is initially an 18 month fixed term contract opportunity, with the potential to transition to a permanent position.
What you'll be doing
No two days will look exactly the same. Your responsibilities will include:
- Being a welcoming first point of contact for families, visitors and colleagues
- Answering incoming calls and confidently assisting with enquiries
- Managing and monitoring multiple shared email inboxes
- Responding to enquiries or directing them to the appropriate person or team
- Processing EFTPOS payments
- Supporting invoicing and other general finance administration
- Processing credit card transactions and reimbursements
- Completing accurate data entry and maintaining records
- Providing general administrative support across the Family Support function
- Managing competing priorities and following up outstanding actions
- Helping keep office processes organised and running smoothly
- Identifying what needs to happen next rather than waiting to be asked
What we're looking for You'll be someone who enjoys being the person others can rely on.
Ideally, you will bring:
- Previous experience in administration, reception, customer service or office support
- Experience within childcare, early learning or OSHC administration would be highly regarded
- Confidence speaking with people over the phone and responding to a variety of enquiries
- Strong written communication skills and confidence managing email correspondence
- Experience working across multiple inboxes and priorities
- Confidence processing EFTPOS payments and basic financial administration
- Strong data entry skills with excellent attention to detail
- Good organisational and time-management skills
- A proactive and forward-thinking approach to your work
- Confidence using Microsoft Office and learning new systems
- The ability to remain calm, professional and helpful in a busy environment
