Waimea Water Limited is a Council Controlled Organisation established in 2018 to build, own and operate the Waimea Community Dam.
Completed in 2024 and formally opened in 2025, the dam secures long-term water resilience for the Tasman region for generations to come, supporting horticulture, urban growth, and the health of the Waimea River.
We are looking for an organised, dependable Office Manager to join our small team, based at our office with occasional travel to our dam site facilities in the Lee Valley.
About the Role
This is a varied, hands-on role providing administrative and accounting support to our General Manager, CFO and Operations Manager while keeping our office and compliance functions running smoothly. It's part-time, around three days a week (days negotiable), and would suit someone who enjoys building and owning good systems.
This is a self-directed role. You'll be trusted to manage day-to-day priorities independently, build the systems required to keep us compliant, and use good judgement about what needs to come to the senior management team.
Key Responsibilities
- Providing general administrative support to the General Manager, CFO and Operations Manager
- Allocating and tracking tasks and projects using JIRA
- Supporting and managing systems for company compliance
- Providing accounting support to the CFO, including invoicing, supplier reconciliations and payables
- Monitoring the health and safety compliance calendar, inspections and records
- Managing office administration - IT, supplies, vendors and visitor inductions
- Coordinating fleet checks, servicing and vehicle maintenance
- Reviewing and handling incoming public communications, including LGOIMA enquiries
- Organising events and site visits
About You We're looking for someone who's genuinely systems-oriented, diplomatic in how they work, and comfortable operating with a good degree of autonomy.
You will ideally bring:
Essential Skills & Attributes - Highly systems-oriented, with the ability to build reliable processes where none currently exist
- Diplomatic and discreet, comfortable working closely with senior leadership and the public
- Proven experience in office management, administration, or executive assistance
- Tech-savvy with strong digital literacy, quick to learn new systems, and confident embracing automation and AI tools to streamline admin, drafting and reporting
- Confident picking up and running systems such as JIRA and SharePoint
- A full, current driver's licence, with willingness to travel to site as required
- Comfortable working independently and prioritising a varied workload without close supervision
Desirable - Accounting or bookkeeping experience
- Familiarity with Council Controlled Organisations or public-sector processes, including LGOIMA
- Experience with JIRA or similar task and project management tools
