About the Role
We are seeking an organised, proactive, and detail-oriented Accounts Professional to join our team. This is a varied role that combines accounts administration, reporting, office management, and business support across multiple entities, including family, property, office, and aviation operations.
This position is ideal for someone who enjoys taking ownership of administrative processes, has strong financial administration skills, and is excited by opportunities to improve systems through technology and automation.
Key Responsibilities
Accounts Payable & Banking
- Process accounts payable for multiple entities, including complex invoices and multi currency
- Manage bank administration, including acting as an authorised signatory for online payments.
- Reconcile accounts and online payment transactions.
- Process and reconcile third-party power reimbursements.
Xero & Reconciliations
- Maintain accurate reconciliations in Xero.
- Reconcile staff credit card transactions and ensure supporting documentation is complete.
Monthly Reporting
- Prepare monthly credit card reports.
- Produce summaries of bills paid and other financial reports as required.
Records & Office Administration
- Maintain company and office records.
- Manage staff leave and sick leave records.
- Maintain vehicle and insurance registers, both NZ and overseas
- Process incoming and outgoing mail.
- Maintain the company's fixed asset records and filing system.
Technology & Process Improvement
- Identify opportunities to improve administrative processes.
- Assist with implementing AI and automation tools to increase efficiency.
- Embrace new technology and contribute ideas that improve the way we work.
About You You are a highly organised professional with excellent attention to detail and the ability to manage multiple priorities. You enjoy creating order, solving problems, and continuously improving systems. You will be someone who takes pride in their work and wants to go the extra mile.
You'll ideally have: - Previous experience in accounts payable, finance administration, or office administration.
- Experience using Xero.
- Strong reconciliation skills and a high level of accuracy.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- A high level of discretion and professionalism when handling confidential information.
- Proficiency with Microsoft Office and cloud-based business systems.
- An interest in AI, automation, and using technology to streamline workflows.
