Our client, a well-respected not-for-profit organisation, is seeking an experienced Executive Secretary to provide high-level administrative and governance support to two executive-level managers. 

About the Role

As the Executive Secretary, you will play a key role in ensuring the smooth coordination of executive and board functions. A significant part of the role involves preparing for board meetings, including compiling agendas, taking minutes, and managing follow-up correspondence and reporting. This role requires a detail-oriented professional with excellent written communication skills and a strong ability to manage sensitive and confidential information.

Key Responsibilities

• Provide high-level secretarial support to two executive managers
• Prepare and distribute board meeting agendas, reports, and supporting documentation.
• Attend board meetings to take accurate minutes and record key decisions.
• Manage post-meeting follow-ups, including action items, correspondence, and report preparation.
• Assist in drafting and formatting reports, policies, and governance documents.
• Act as a key point of contact for board members and senior stakeholders.
• Maintain accurate and organised records in line with governance requirements.

About You

• Proven experience as an Executive Secretary, Board Secretary, or in a similar high-level administrative role.
• Strong experience in board meeting coordination, agenda preparation, and minute-taking.
• Excellent written and verbal communication skills with high attention to detail.
• Ability to handle confidential and sensitive information with professionalism.
• Proficiency in Microsoft Office Suite, particularly Word and Excel
• Strong organisational skills and the ability to manage multiple priorities.
