We are proud to be partnering exclusively with a respected national not-for-profit organisation to recruit an Executive Assistant / Office Manager. This is a fantastic opportunity for a professional who thrives in a busy, people-focused environment and enjoys blending executive support with office management responsibilities.
About the Role
Reporting directly to the CEO and supporting a small executive team, this role is pivotal in keeping the office running smoothly while ensuring senior leaders are well supported. It is not your “typical” EA role – it combines classic EA duties with office management and business support, making every day varied and engaging.
Key responsibilities include:
- Diary and travel management for the CEO and two senior executives.
- Preparing agendas, minute taking, and coordinating internal executive meetings.
- Acting as the central point of contact for the office, including liaising with the building manager, ordering supplies, and managing facilities.
- Leading small projects such as streamlining travel processes, improving desk utilisation, and creating office-wide consistencies.
- Assisting with reporting, drafting business cases, and coordinating events with the Marketing & Communications team.
- Handling highly confidential information with tact, discretion, and professionalism.
About You We’re seeking someone who is flexible, engaging, and proactive – a professional who enjoys variety and can comfortably switch between executive support and day-to-day office management.
To be successful, you will bring:
- Previous experience as an EA, Office Manager, or in a similar administrative support role.
- Strong organisational skills and confidence managing competing priorities.
- High-level communication skills, with the ability to engage with stakeholders across all levels.
- Proficiency in Microsoft Office Suite.
- A warm, approachable style, with the ability to “hold your own” while working closely with an experienced and down-to-earth CEO.
The Organisation This well-established not-for-profit is headquartered in Melbourne’s CBD, with around 20 team members in the office and many more operating nationally. The culture is professional yet relaxed – people are focused on their work but enjoy a collaborative, supportive environment.
