About The Role? 
 
Reporting to the Support Services Coordinator, you will provide high-quality front-line client service and reception support. You will coordinate enquiries and appointments, maintain accurate records, and assist clients through intake, onboarding, ongoing service administration and offboarding. You will also support clinicians, operational leaders, satellite offices and agreed improvement projects.
 
What you'll be doing
 
Client service and reception 

• Provide welcoming and responsive service to clients, visitors and stakeholders. 
• Support daily clinic operations, scheduling, client transactions and enquiries. 
• Represent ClearSky professionally and escalate matters appropriately. 

Client administration and service management 

• Support client intake, onboarding, transfer and offboarding activities. 
• Collect, prepare and maintain client and clinical information accurately and confidentially. 
• Keep files, databases and administrative records complete and up to date. 

Operational and team support 

• Provide administrative, operational and project support as directed. 
• Collaborate with clinicians and operational staff to support service coordination. 
• Support satellite-office, workplace, expo and event logistics when required. 

Business improvement 

• Identify opportunities to improve front-line interactions and administrative workflows. 
• Contribute to capacity-building and business-improvement projects. 
• Support agreed changes to administrative systems and processes. 

What we are looking for 
 
Essential capabilities 

• Strong communication, interpersonal and customer-service skills. 
• Ability to manage multiple tasks and strict timeframes while maintaining accuracy. 
• Competence using Microsoft Office Suite and ability to learn new systems and technology. 
• Critical thinking, organisation and confidence monitoring tasks and providing status updates. 
• Professional and trustworthy handling of confidential information. 
• Collaborative approach, ability to follow procedures and constructive response to changing priorities. 
• Current Australian driver licence. 

Highly regarded 

• At least one year of experience in a medical, allied health, allied practice or similar service environment. 
• Undergraduate qualification in business, allied health or a related field. 

Screening requirements 

• Queensland Blue Card, or willingness and eligibility to obtain. 
• Yellow Card issued by Disability Services Queensland, or willingness and eligibility to obtain.
