We’re seeking an Admin Assistant to provide support to our Essential Services Department — helping manage compliance, certification, and audit documentation across a portfolio of inner-city buildings.

About the Role
Reporting to the friendly and approachable Building / Essential Services Manager,  this role plays a key part in ensuring our properties meet all Essential Safety Measures (ESM) and OH&S compliance requirements.
You’ll be responsible for maintaining accurate documentation, coordinating audits, and providing vital administrative support to our Building and Essential Services team.

Key Responsibilities:

• Act as the first point of contact for all building, maintenance, and equipment-related queries. 
• Monitor email inbox and client portals for service requests.
• Assess and issue Fire Isolation Permits in line with safety guidelines.
• Maintain accurate records in Uptick and other internal systems.
• Provide day-to-day administrative support to the Essential Services / Building Services Manager.
• Assist with compliance functions such as swimming pool registrations and related building certifications.
• Prepare and distribute new logbooks, inserts, and documentation as required.
• Ensure filing and recordkeeping (digital and hard copy) are accurate and up to date.

About You:

We’re looking for someone who’s detail-oriented, confident communicating with multiple stakeholders, and motivated by maintaining safety and compliance across complex buildings.

You’ll bring:

• Existing administrative support experience ideally in building services, facilities, real estate, maintenance coordination, or Owners Corporation  (highly regarded).
• Strong written and verbal communication skills.
• Computer literacy in Word, Excel, and maintenance management systems.
• Excellent organisational and time management abilities.
• Problem-solving skills and the ability to work independently or in a team.
• A proactive mindset with a focus on accuracy and accountability.
