The Opportunity

We are seeking an experienced Submissions Coordinator to join our North Sydney team. This is a pivotal role that blends bid coordination expertise and hands on creative capability, ensuring submissions are compliant, visually compelling and delivered on time. 

If you thrive on keeping multiple projects on track and have a keen eye for design and detail, this role offers the opportunity to make a real impact.

Key responsibilities include:

• Providing end-to-end administrative, coordination and quality-control support to the bid and submissions function.
• Coordinating EOIs, tenders, proposals and capability submissions, ensuring deadlines and compliance requirements are met.
• Managing content and documentation, maintaining bid libraries and supporting continuous improvement of submission materials.
• Assisting with formatting, proofreading and ensuring brand consistency across all documents.
• Designing and updating bid collateral using Adobe InDesign.
• Producing high-quality submission documents, capability statements and presentations in line with brand guidelines.
• Preparing layouts, infographics and visual storytelling to communicate key messages and differentiate our offering.
• Managing stakeholder communication and acting as the coordination point between bid managers, technical leads and leadership.
• Proactively maintaining the CRM and bid tracking systems, capturing feedback, outcomes and lessons learned to support continuous improvement.

Your Skills and Experience

• Previous experience coordinating and preparing bids or submissions.
• Advanced proficiency in Adobe InDesign and Microsoft Suite (essential).
• Demonstrates strong organisation and time-management skills.
• Exceptional attention to detail.
• Highly collaborative and can communicate at all levels.
• Experience using CRM or bid management systems (desirable).
• Construction, design or consultancy exposure (desirable).
