Proposals & Contracts Coordinator
Location: Dubai, UAE
Sector: Design Consultancy (Built Environment)
Salary: 12,000 - 15,000 AED per month
Exceptional candidates considered up to 19,000 AED

We are seeking a Proposals & Contracts Coordinator to join a well-established design consultancy based in Dubai, working across high-profile commercial projects.
This role suits someone confident, proactive, and highly organised — a step up from a junior coordinator — who can take ownership of bids, proposals, and contract support while working closely with senior commercial stakeholders.
A background in design, interiors, architecture, or fit-out is ideal but not essential for the right candidate with strong proposals and contracts experience.
The Role
You will support the senior commercial team across bids, proposals, and contract administration, ensuring high-quality submissions, smooth coordination with internal teams and sub-consultants, and strong commercial control.
This is a role for a self-starter — someone who communicates well, manages deadlines confidently, and takes initiative rather than waiting for instruction.
Key Responsibilities

Proposals & Bids

• Coordinate and prepare technical and commercial proposals
• Support with PQQs / prequalification questionnaires
• Track and manage proposals from start to submission
• Coordinate inputs from design, commercial, and project teams
• Liaise with sub-consultants to ensure timely and accurate submissions
• Maintain bid schedules and proposal documentation
• Review and refine proposal content for clarity, consistency, and quality

Contracts & Commercial Support

• Support contract administration including purchase orders and change control requests (CCRs)
• Assist with preparation, submission, and follow-up of CCRs / variations
• Maintain accurate commercial registers and records
• Support implementation and improvement of commercial processes

Coordination & Process Improvement

• Ensure technical and commercial proposals align
• Maintain sub-consultant databases and documentation
• Identify potential issues early and propose solutions
• Improve templates, workflows, and processes where possible

About You

• Proven experience in proposals, bids, or contract coordination
• Experience within a design consultancy or built-environment sector preferred
• Excellent written and spoken English
• Strong communicator with a professional and personable approach
• Highly organised with strong attention to detail
• Comfortable working under pressure and managing multiple deadlines
• Proactive, solutions-focused, and able to work autonomously

Software

• MS Office (essential)
• InDesign and Excel (strongly preferred)
