Job Title: Receptionist / Front Desk Administrator

Position Overview
We are seeking a polished and proactive Receptionist / Front Desk Administrator to manage front office operations and executive travel coordination. This role is ideal for someone with 2–5 years of experience in administrative support, office management, and booking travel arrangements for senior stakeholders. Based in Dubai, the position requires excellent communication skills, attention to detail, and a service-oriented mindset.
Key Responsibilities
Front Desk & Office Administration
• Greet and assist visitors, clients, and staff with professionalism and warmth
• Manage incoming calls, emails, and correspondence; route inquiries appropriately
• Maintain a tidy and organized reception area and meeting rooms
• Handle courier services, office supplies, and general administrative tasks
• Support scheduling of meetings, appointments, and internal events
Executive Travel & Logistics Coordination
• Arrange flights, hotel bookings, ground transportation, and visa documentation for senior executives
• Coordinate complex travel itineraries across multiple time zones
• Liaise with travel agencies, hotels, and service providers to ensure smooth execution
• Track travel budgets, preferences, and loyalty programs for frequent travelers
• Provide timely updates and contingency plans for changes or disruptions
Documentation & Reporting
• Maintain accurate records of bookings, expenses, and vendor contacts
• Prepare travel summaries, expense reports, and administrative logs
• Support preparation of meeting agendas, minutes, and follow-up actions
Stakeholder Support & Communication
• Act as a point of contact for internal teams and external guests
• Ensure confidentiality and discretion in handling sensitive information
• Provide high-level support to senior management with a focus on responsiveness and reliability
Qualifications & Experience
• Bachelor’s degree or diploma in Business Administration, Hospitality, or related field
• 2–5 years of experience in front desk, office administration, or executive travel coordination
• Proven experience managing flight, hotel, and travel logistics for senior stakeholders
• Strong organizational and multitasking skills with attention to detail
• Excellent verbal and written communication skills
• Proficiency in MS Office and familiarity with travel booking platforms
