Parish Secretary

STATUS: Part-Time (20 hours/week, Monday to Friday)
TENURE: Permanent
POSITION REPORTS TO: Parish Priest, Fr. Dantus Thottathil
WORK LOCATION: St. Thomas Camp Hill Parish

Organisational Overview

St. Thomas Camp Hill Parish, located in the Brisbane East Deanery, supports a vibrant community under the leadership of Parish Priest Fr. Dantus Thottathil. The Parish Secretary plays a key role in providing administrative and clerical support to ensure the smooth operation of parish activities.

Purpose of the Role

To provide effective and efficient clerical and administrative support to the Parish Priest and pastoral staff, enabling them to focus on their pastoral mission.

Key Responsibilities

Office Administration

• Manage office and reception duties, including answering phone and in-person inquiries, handling mail, and preparing correspondence.
• Maintain Parish records, including registers for baptisms, weddings, and funerals.
• Prepare newsletters, liturgical booklets, and Parish communications using tools like Microsoft Office and MailChimp.
• Manage bookings for the Parish Hall and coordinate associated fees.

Financial and Supply Management

• Handle banking, invoice checking, and payment of accounts.
• Order and manage office and liturgical supplies.

Sacramental and Pastoral Support

• Assist with the administration of Baptisms, Weddings, Funerals, and other sacraments, including liaising with families and creating supporting documents.
• Support the Sacramental Program coordinator in delivering programs for children and families.

Volunteer and Compliance Management

• Maintain records to ensure compliance with safeguarding and volunteer requirements.
• Assist volunteers with training, Blue Card applications, and safeguarding compliance.

Communication and Collaboration

• Build respectful relationships with Parishioners, volunteers, and staff.
• Ensure the Parish database is updated to facilitate effective communication and pastoral planning.

Required Skills and Experience

Competencies:

• Excellent interpersonal and written communication skills.
• Strong organizational and time-management abilities.
• Proficiency in Microsoft Office and Parish-specific systems (e.g., PACS).

Experience:

• At least five years of experience in office administration or a similar role.
• Knowledge of Catholic Parish operations and procedures is desirable.

Compliance Requirements:

• Current Blue Card or willingness to obtain one.
• National Criminal History Check or willingness to obtain one.
