Administration Assistant – Camp Hill Parish

St Thomas the Apostle Parish, Camp Hill is seeking a friendly and organised Administration Assistant to support the day-to-day activities of the parish office and provide a welcoming point of contact for parishioners, families, volunteers and visitors.
About the Role
We are seeking a friendly and organised Administration Assistant to provide additional support to the Parish Secretary and parish team, including office coverage during periods of Secretary leave.
This flexible casual role will generally offer 5–10 hours per week, which may be worked across one or two days depending on parish needs. Additional hours may be available during busy periods, particularly throughout the sacramental programme and when leave coverage is required.
This role would suit an experienced administrator who enjoys working with people and is looking for flexible hours within a welcoming parish community.
Responsibilities
Your responsibilities will include:
- Providing a friendly and professional first point of contact for parishioners, families, visitors and community members.
- Answering telephone enquiries and welcoming visitors to the parish office.
- Providing general administrative support, including mail, filing, scanning, photocopying and record keeping.
- Preparing and distributing parish newsletters and bulletins.
- Maintaining parish information and family records using systems such as PACS and Flocknote.
- Assisting with administrative arrangements for baptisms, weddings and funerals.
- Preparing sacramental certificates, registers and associated documentation.
- Supporting the administration of parish sacramental programs.
- Preparing liturgy slides, booklets and other parish materials.
- Managing church and office supply orders.
- Assisting with routine WHS administration and safeguarding records.
- Coordinating minor maintenance requirements and contractor visits.
- Maintaining confidentiality and handling personal or sensitive information with care and discretion.
- Providing other reasonable administrative support as required to meet the evolving needs of the parish.
About You You will be someone who enjoys working with people and understands the importance of creating a welcoming, respectful and supportive experience for everyone who contacts the parish.
You will ideally bring:
- Previous experience in an administration, reception, clerical or office support role.
- Good computer skills, including confidence using Microsoft Word, Excel and Outlook.
- Strong organisational and time-management skills with excellent attention to detail.
- A friendly and professional communication style and the ability to interact respectfully with people from a variety of backgrounds.
- The ability to manage competing priorities in a busy community environment.
- Discretion and sound judgement when handling confidential or sensitive information.
- The ability to work independently while also contributing positively to a small and supportive team.
- An understanding of Catholic parish life and operations, or a willingness to learn and work respectfully within the mission and values of the Catholic Church.
- A willingness to learn parish systems such as PACS and Flocknote.
- The ability to obtain a Paid Blue Card and National Criminal History Check
- Experience within a parish, church, community or not-for-profit environment would be advantageous but is not essential.
