One of our non-profit clients is a church in Maryland looking for a part time Accounting or Payroll Specialist. In this fully onsite role, you would serve as a key member of the Finance Department by providing accounting, bookkeeping, payroll support, financial record management, and administrative assistance to the Interim Treasurer. You would function as the primary backup to the Interim Treasurer and be expected to develop a thorough understanding of the department's daily operations to help ensure continuity of financial processes during the Interim Treasurer's absence.
You must be highly organized, trustworthy, detail-oriented, and capable of handling confidential financial information with professionalism and discretion. You must have strong accounting knowledge, excellent technology skills, and the ability to work independently while supporting multiple financial functions. You should be eager to learn, adaptable to changing priorities, and committed to supporting the financial stewardship and operational excellence of the organization.
Essential Duties and Responsibilities
Accounting & Bookkeeping
- Assist with daily accounting and bookkeeping activities.
- Process Accounts Payable (AP) and Accounts Receivable (AR) transactions.
- Enter financial transactions accurately into accounting and payroll systems.
- Review invoices, expense reports, reimbursement requests, and supporting documentation for completeness and accuracy.
- Prepare payment requests and maintain supporting documentation.
- Assist with monthly bank reconciliations and account reconciliations.
- Maintain general ledger support documentation.
- Assist with month-end and year-end close activities.
- Support the preparation of financial reports and audit documentation.
- Assist with tracking restricted and designated funds in accordance with organizational policies.
Financial Records Management - Maintain organized physical and electronic financial filing systems.
- Scan, upload, index, and archive financial records.
- Ensure all accounting documentation is complete, accurate, and easily retrievable.
- Maintain document retention according to organizational policies and best practices.
Payroll & Human Resources Support - Assist with payroll processing and payroll administration as assigned.
- Maintain payroll documentation and employee records.
- Support onboarding paperwork and payroll-related documentation.
- Maintain strict confidentiality of payroll and personnel records.
- Assist with benefits and payroll reporting as requested.
Administrative Support - Open, sort, organize, and distribute incoming mail.
- Prepare outgoing correspondence and financial documents.
- Answer and route finance-related inquiries professionally.
- Schedule meetings and provide administrative support for the Finance Department.
- Order office and departmental supplies as needed.
- Assist with special projects and other assignments as directed.
Finance Department Operations - Cross-train on departmental procedures to provide backup support to the Interim Treasurer.
- Learn and understand finance workflows and internal controls.
- Assist in documenting departmental procedures and maintaining process manuals.
- Support the implementation of new financial systems, software, and procedures.
- Collaborate professionally with the church leadership, ministry leaders, staff, vendors, and external partners.
- Perform additional duties as assigned.
Confidentiality & Internal Controls - Handle donor, employee, payroll, banking, and financial information with the highest level of confidentiality.
- Adhere to established accounting procedures, internal controls, and organizational policies.
- Exercise sound judgment and discretion when handling sensitive information.
- Demonstrate integrity, professionalism, and ethical conduct in all aspects of the position.
Required Qualifications Education - Associate's degree in Accounting, Finance, Business Administration, or a related field required; an equivalent combination of education and relevant professional experience may be considered.
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field is strongly preferred.
Experience - Minimum of three (3) years of accounting, bookkeeping, or finance office experience.
- Strong knowledge of accounting principles and bookkeeping procedures.
- Experience with Accounts Payable and Accounts Receivable.
- Experience maintaining accurate financial records and supporting financial reporting.
- Experience handling confidential financial and personnel information.
Technical Skills - Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Intermediate to Advanced Microsoft Excel skills, including:
- Formulas and functions
- Pivot Tables
- VLOOKUP/XLOOKUP
- Sorting and filtering
- Basic financial reporting and analysis
Preferred Experience (Not Required) The following qualifications are highly desirable but are not required:
- Experience using ADP Workforce Now.
- Experience using ChurchTrac church management software.
- Experience working in a church, ministry, nonprofit, or faith-based organization.
- Familiarity with church financial operations, fund accounting, donor contribution records, and designated/restricted funds.
- Experience assisting with audits or financial statement preparation.
- Experience supporting payroll administration.

Physical Requirements - Ability to sit for extended periods while working at a computer.
- Ability to operate standard office equipment, including printers, scanners, copiers, and postage equipment.
- Ability to lift and carry files or boxes weighing up to 25 pounds.
Work Environment This position is performed in a professional office environment within a church organization. The Finance Technician will regularly work with confidential financial information and interact with church leadership, ministry leaders, employees, vendors, church members, and external partners in a courteous, respectful, and professional manner.
