Sales & Leasing Administrator – Commercial Property
Step into a varied, detail-focused administration role supporting a busy commercial Sales & Leasing team.
If you're an organised administrator with real estate office experience and a genuine eye for accuracy, this is a great opportunity to build your career within a well-established commercial property team. You'll play a key support role across sales, leasing and marketing, working closely with an experienced group of Partners and agents.
The opportunity:
As Sales & Leasing Administrator, you'll provide vital administrative support across the Sales & Leasing and Marketing functions, helping keep transactions moving smoothly from listing through to settlement. You'll work closely with the sales and leasing team, gaining valuable exposure to the full lifecycle of a commercial property transaction.
Key responsibilities include:
- Preparing commercial leases, disclosure statements, surrenders, transfers, offers to lease and licence agreements
- Preparing heads of agreement to purchase and contracts of sale for digital signature
- Preparing commercial sale and leasing authorities
- Reporting sales and monitoring settlements, liaising with solicitors to confirm completion
- Finalising sale and leasing files
- Allocating deposit numbers and tracking deposit payments
- Conducting credit checks, company enquiries, tenant checks and title searches
- Recording owner details from title and company searches
- Updating property management software with lease expiry and settlement dates
- Printing and binding contracts for auctions
- Preparing and sending contracts and leases for electronic signature
- Providing administrative support to Partners and the sales team
- Maintaining the key register and taking sales meeting minutes
- Assisting with AML compliance administration
- Preparing marketing and advertising schedules
- Managing Google review requests and printing marketing collateral as required
This is a hands-on role offering genuine variety, where no two days look the same and your organisational skills will be put to great use.
About you:You're an experienced administrator who thrives on structure and accuracy, and enjoys being the go-to person a busy team can rely on. You will ideally bring:
- Previous real estate office experience (commercial experience highly regarded)
- Previous administration experience in a professional office environment
- General administrative training, with an Agent Representative Certificate considered a plus
- A current Victorian driver's licence and ability to pass a police check
- Excellent verbal and written communication skills
- Strong computer skills across Word, Excel and Outlook, plus confidence with Adobe Pro
- A high level of attention to detail and a strong customer service focus
- Comfort working both independently and as part of a close-knit team

Salary range: $70,000 - $85,000 + Super dependent on your experience
