Sales & Leasing Administration – Commercial Real Estate
Spire Recruitment is partnering with a well‑established commercial real estate agency to appoint an experienced Sales & Leasing Administrator to support a busy, high‑performing team. This is a full‑time, permanent opportunity suited to someone who enjoys variety, structure and being the “go‑to” person for documentation, compliance and marketing support.
About the role:
Working closely with Partners and Sales & Leasing Executives, you will provide end‑to‑end administrative support across commercial sales and leasing transactions. Key responsibilities include:
- Preparing commercial leases, disclosure statements, surrenders, transfers, offers to lease and licence agreements.
- Drafting heads of agreement, contracts of sale and authorities for digital signature.
- Monitoring settlements, liaising with solicitors, and finalising sales and leasing files.
- Completing credit checks, company and title searches, recording owner details and maintaining key registers.
- Updating CRM tasks (e.g. lease expiries, settlement dates), managing AML compliance administration and sales meeting minutes.
- Coordinating printing/binding of auction contracts, IMs and brochures, and assisting with advertising schedules and Google reviews.
You’ll also provide general administrative support to senior management and the wider team, as well as handle ad‑hoc tasks as required.
Systems and tools: You’ll be working across a modern suite of property and office systems, including:
- Microsoft Office (Outlook, Word, Excel).
- Industry‑specific property and CRM platforms
- DocuSign/Adobe Pro and other digital document tools.
- Compliance and credit reporting tools.
- Training and handover will be provided, but prior experience with real estate or professional services systems will be highly regarded.
About you To be successful in this role, you will ideally bring:
- Previous real estate office or commercial property experience (sales, leasing or property management).
- Solid administration background in a busy office environment.
- Strong written and verbal communication skills and a customer‑service mindset.
- High attention to detail, excellent time management and the ability to multitask.
- Confidence dealing with a range of stakeholders and the ability to manage difficult conversations professionally.
An Agent’s Representative Certificate, current driver’s licence and police check are desirable but not essential.
