The Role Reporting directly to the Province Leader, this position provides high-level executive and administrative support to a senior leader and the Province Council (Board). The role demands a professional who can manage competing priorities with precision, produce sensitive and polished communications, and contribute to the effective governance and administration of a complex, international organisation.
Key Responsibilities - Provide high-level executive and administrative support to the Province Leader, including diary management, correspondence, travel coordination and meeting logistics
- Support Province Council (Board) governance — drafting agendas, preparing and distributing board papers, recording minutes and proactively managing action items
- Produce professional communications across a range of formats including newsletters, letters, reports and briefing materials for internal and external stakeholders
- Oversee the smooth operation of the Province Office, serving as first point of contact for visitors and enquiries, maintaining records and databases, and liaising with the Finance team on invoicing and reconciliations
Key Selection Criteria - Demonstrated experience providing executive support to a CEO or equivalent, including board paper preparation and governance administration
- Advanced Microsoft Office proficiency (Word, PowerPoint, Outlook; intermediate Excel)
- Highly developed written and verbal communication skills, with proven ability to produce sensitive and professional correspondence
- Demonstrated capacity to maintain confidentiality and exercise sound professional judgement
- Exceptional organisational skills with the ability to manage competing priorities and deliver to deadlines
- Proven initiative, adaptability and problem-solving capability
- Professional experience within a faith-based organisation, not-for-profit or similarly complex environment
- Familiarity with, or a willingness to develop understanding of, the context of a religious organisation
- Current Australian driver's licence
Pre-employment requirements: Satisfactory completion of a National Police Records Check and Victorian Working with Children Check is required prior to commencement.
