With a strong volunteer base and a small, committed staff team, the organisation plays a vital role in supporting safe, well-run programs and community engagement across the state.
The Role Reporting to the Head of People, Culture, Safety & Operations, this is an integral Office Administrator role supporting the day-to-day operations of the Docklands office and working closely with a small, busy team.
This role requires someone who is confident managing phones and acting as the first point of contact for volunteer and general enquiries, while also providing strong administrative and systems support. A significant component of the role involves working extensively within the organisation's CRM environment, including maintaining and updating records, resolving data issues, and supporting accurate information flow across the organisation.
The successful candidate will be trained in the organisation's IMIS database software, however extensive prior experience working with CRM systems is essential. A component of the role also supports the Property Officer with foundational data and administrative work across a large property portfolio.
This role suits someone who is bright, switched on, tech savvy, and able to step in quickly to support continuity and smooth operations. There is a possibility this role may become permanent.
Key Responsibilities - Manage incoming phone calls and act as the first point of contact for volunteer and general enquiries
- Provide day-to-day office administration and coordination, including stationery and general office support
- Perform high-volume data entry, updates, and maintenance within CRM systems, ensuring data accuracy and integrity
- Work extensively within the IMIS database (training provided) to support volunteer, membership, and organisational records
- Update and maintain records across systems, resolving issues and supporting workflow
- Support SharePoint administration and general IT systems tasks
- Assist with documenting processes and standard operating procedures, with training provided
- Support the Property Officer 1-2 days per week with administrative and data-related tasks
Key Selection Criteria - Demonstrated experience in an office administration or customer service support role
- Extensive experience working with CRM systems, including managing and maintaining complex datasets
- Confident managing phone-based enquiries and interacting with volunteers or community members
- Strong IT capability, including experience with CRM systems and SharePoint
- Exposure to property, real estate, or facilities management advantageous
- Confident learner with the ability to pick up systems and processes quickly, including IMIS database software
- Reliable, proactive, and available to commence promptly
- Must hold a current Working With Children Check and Police Check
