About the role

Our Receptionist and Client Services Coordinator is the welcoming face of MSWA, providing exceptional customer service and professional support to clients, visitors, staff, and stakeholders. This role is integral to creating a positive client experience through efficient management of enquiries, client intake, and onboarding processes, while delivering high-quality administrative and reception support. Through strong organisational skills, attention to detail, and a client-centred approach, the position contributes to seamless service delivery and the smooth day-to-day operations of the Bunbury Services Centre.
What you’ll be doing
- Deliver exceptional customer service as the first point of contact for clients, families, visitors, and stakeholders, creating a welcoming, professional, and inclusive experience.
- Coordinate client enquiries and onboarding, supporting new and returning clients to access MSWA services through efficient intake, referrals, and information sharing.
- Manage reception operations including phone calls, emails, appointments, room bookings, and visitor management to ensure smooth daily service delivery.
- Provide high-quality administrative support, maintaining accurate records, preparing documentation, processing correspondence, and ensuring compliance with privacy requirements.
- Support client service excellence by recording and managing enquiries, maintaining detailed client information, and facilitating timely follow-up and communication.
- Handle financial and operational administration, including EFTPOS transactions, cash reconciliation, banking activities, supply ordering, and fleet administration.
- Build strong relationships with clients and stakeholders, collaborating with clinicians, managers, and service teams to deliver seamless and client-centred outcomes.
- Contribute to a positive and high-performing team culture by promoting continuous improvement, adhering to quality and compliance standards, and supporting the efficient operation of the Bunbury Services Centre.
Must-haves: - Excellent Customer Service Skills
- Current ‘C’ Class Driver’s Licence (no restrictions)
- NDIS Worker Screening Check and Workers Orientation Module (or willingness to obtain)
- Strong communication skills and the ability to work effectively as part of a team
Desirable: - Certificate 3 in Business Administration or similar
- Experience using client management systems and telephone systems
