About the Role
As a Facilities Administration Officer, you will provide essential administrative support to the Facilities team, ensuring the smooth and efficient coordination of facilities and fleet-related activities across MSWA.
Working closely with internal stakeholders, contractors, and service providers, you will manage requests, maintain accurate records, coordinate maintenance schedules, and support day-to-day administrative processes. This role is ideal for a highly organised administrator who enjoys managing competing priorities, maintaining systems and documentation, and delivering excellent customer service.
Key Responsibilities
- Receive, monitor and action facilities and fleet-related requests
- Coordinate and schedule reactive and planned maintenance works across MSWA sites
- Maintain accurate records of maintenance activities, assets, service agreements and contractor documentation
- Liaise with contractors, suppliers and internal stakeholders to arrange works and monitor completion
- Process fleet administration tasks, including vehicle bookings, servicing, repairs, insurance claims and vehicle changeovers
- Assist with the administration of security access systems and CCTV requests
- Monitor compliance requirements and maintain service schedules to ensure obligations are met
- Prepare reports, update databases and support filing and document management activities
- Contribute to process improvements that enhance administrative efficiency and customer service outcomes

Must-haves - Experience in administration, coordination, maintenance, or a similar role
- Strong organisational skills with the ability to manage competing priorities
- Excellent communication and stakeholder engagement skills
- Strong computer skills
- A proactive, solutions-focused approach
- Current driver’s licence
- NDIS Screening Clearance (or willing to get)
