Who are you?
Are you a proactive finance professional who thrives on variety, enjoys solving problems and can confidently manage competing priorities? We're looking for a capable Finance Administrator to join our team in Dunsborough for a 6 month term to support the financial operations of multiple entities across a diverse and fast-paced business.
This is more than a routine finance and accounts role. You'll take ownership of a varied payroll function, manage day-to-day financial transactions and ensure everything runs accurately and efficiently across multiple clients, systems and entities.
The Opportunity
Reporting to the Financial Controller, you'll play a key role in maintaining accurate financial records across a diverse group. The role supports the Senior Finance Officer (SFO) and Financial Controller (FC).
A key focus of this role is managing a dynamic, multi-client payroll environment where processes, timesheets, approvals and reimbursements can differ from one client to the next. You'll need to be comfortable navigating these variations, anticipating issues and proactively following up on missing information to ensure key compliance targets are met internally and externally.
Alongside payroll, you'll actively participate and drive processing accounts payable and receivable, reconciliations, month-end processes and general finance administration.
Key Responsibilities
- Payroll: Oversee end to end payroll administration for casual and salaried employees, including job and candidate setup, pay and bill agreements, timesheets, approvals, onboarding and reimbursements.
- Systems management: Maintain accurate and up to date records across FastTrack360, JobAdder, Onboarded and Xero, ensuring systems and information remain aligned.
- Accounts receivable: Manage client invoicing, debtor follow-ups, remittances, intergroup transfers and reconciliations.
- Accounts payable: Process and verify supplier invoices, manage creditor records and ensure payments are prepared accurately and on time.
- Month-end and compliance: Complete account reconciliations, payroll tax, superannuation, child support payments, general ledger journals and bookkeeping tasks.
- Financial administration: Under the supervision of the Financial Controller and Senior Finance Officer, you will support the financial management of multiple entities, assisting in areas including asset registers, depreciation, loan reconciliations and credit card transactions.
- Continuous improvement: Identify and highlight opportunities to improve processes, document procedures and contribute to projects that enhance the efficiency of the finance function.
About You You're organised, resourceful and thrive in a dynamic environment where priorities can shift from day to day. You take initiative, think ahead and proactively identify what needs to be done. You're confident asking the right questions, taking ownership of challenges and seeing things through to completion.
You'll ideally bring: - Experience in payroll and finance administration, including accounts payable, accounts receivable and reconciliations.
- The ability to manage complex or varied payroll processes across multiple clients, pay arrangements and approval workflows.
- Strong problem-solving skills and the confidence to investigate discrepancies, chase missing information and make sound decisions within your scope.
- A proactive approach, with excellent attention to detail and a strong sense of accountability.
- Experience using accounting and payroll systems, with a willingness to learn new technology and manage information across multiple platforms.
- Clear communication skills and the confidence to liaise with clients, employees, approvers, suppliers and internal stakeholders.
- The ability to manage competing deadlines, adapt to changing priorities and maintain accuracy in a busy environment.
What's on Offer? - Up to $80,000 salary plus superannuation (depending on experience)
- Full-time (Mon-Fri) /6 Months Fixed Term, office-based position in Dunsborough, WA.
- Salary sacrifice program available
- A varied role with genuine responsibility and task ownership.
- The opportunity to work across multiple entities, systems and finance functions.
- A supportive finance team, with access to guidance from the SFO and FC.
