Our client is a fast-growing, venture-stage technology company working at the frontier of AI. They see executive support as a strategic role and are hiring a team that thinks ahead, works with care and grows with the company.
About the role:
Our CEO is spending more time on the West Coast, and our Chief of Staff is based in San Francisco. You'll be their on-the-ground support: you'll run their day at the San Francisco office, travel with the CEO around the West Coast, and look after his West Coast home.
This role suits someone early in their career who is eager to learn, comfortable on the move, and completely discreet.
What you'll do:
San Francisco office:
- Stage-manage the CEO's and Chief of Staff's days in the San Francisco office: keep them on time for in-person and remote meetings, with AV set up and tested.
- Arrange meals during the workday and ground transportation around the Bay Area.
West Coast travel: - Plan business trips that start and end on the West Coast, including detailed itineraries.
- Travel with the CEO and Chief of Staff on West Coast trips, handling logistics and meeting support on the ground and sharing trips with the CEO's senior EA.
- Coordinate with other EAs when several teammates travel with the CEO.
Personal assistance: - Run errands and handle personal purchases and gifts for the CEO and his family, keeping detailed records.
- Look after vehicle maintenance and repairs.
- Help with bill pay, subscriptions, renewals and insurance.
West Coast home: - Be the main contact for the CEO's West Coast home: coordinate vendors and property managers, manage deliveries, and keep careful records of purchases.
- Keep household and travel essentials stocked, and oversee projects and upkeep.
- Help set up meal plans for the home.
Who you are: - Experience in executive or personal assistance, hospitality, concierge work or a similar service role.
- Complete discretion: you protect the family's privacy and keep personal information secure. We use Google Drive and 1Password.
- Clear, consistent communication: you keep the wider support team informed, explain your decisions, and ask when you're unsure.
- Forward planning: you turn priorities into weekly and monthly West Coast plans, and you'd rather move things forward than wait for answers.
- A hospitality mindset: you notice what's needed before anyone asks. A background in hospitality, restaurants or events stands out to us.
- Based in the Bay Area, with a valid driver's license and comfort traveling around the West Coast.
How our support team works You'll be the West Coast member of an executive support team coordinated by a support staff lead in Cambridge. You'll work closely with the CEO's senior EA, so you'll always have someone to plan with and learn from.
