Our client is a fast-growing, venture-stage technology company working at the frontier of AI. They see executive support as a strategic role and are hiring a team that thinks ahead, works with care and grows with the company.
About the role:
You'll take care of the CEO's personal life so he can focus on building the company. That includes his family's travel, his homes, errands and personal admin. You'll work closely with a senior member of the support team who sets the family's priorities, and you'll have a lot of independence in how you deliver on them.
This role suits someone early in their career who is extremely organized, completely discreet, and eager to learn high-level personal support from an experienced team. This position is onsite.
What you'll do:
Calendar:
- Keep every personal appointment on the CEO's calendar, accurate and formatted the way he likes.
- Work with the senior personal assistant to protect his personal and family time.
Personal and family travel: - Plan personal trips for the CEO and his family end to end, including itineraries, accommodations, flights, ground transportation, meals and appointments.
- Build travel systems such as packing and unpacking routines and playbooks for frequent trips between homes.
- Support the family remotely while they travel.
Homes: - Be the main contact for the CEO's homes: coordinate vendors and property managers, manage deliveries, and keep careful records of purchases.
- Keep household and travel essentials stocked.
- Travel to homes in the Northeast to oversee projects and upkeep.
- Set up meal plans that help the family eat well and consistently.
Errands and personal admin: - Run errands and handle personal purchases and gifts, keeping detailed records.
- Look after vehicle maintenance and repairs.
- Help with bill pay, subscriptions, renewals and insurance.
Workday support: - Handle business expenses, receipts and reimbursements.
- Receive, sort and route the CEO's mail and packages.
- Arrange meals during the workday.
Who you are: - Experience in personal assistance, household management, concierge work, hospitality or a similar service role.
- Complete discretion: you protect the family's privacy and keep personal information secure. We use Google Drive and 1Password.
- Clear, consistent communication: you keep the senior assistant informed, explain the decisions you make, and ask when you're unsure.
- Forward planning: you turn the family's priorities into weekly and monthly plans, and you'd rather move things forward than wait for answers.
- A hospitality mindset: you notice what's needed before anyone asks. A background in hospitality, restaurants or events stands out to us.
- A valid driver's license and comfort traveling around the Northeast.
How our support team works You'll be part of an executive support team coordinated by a support staff lead. You'll work most closely with the senior assistant who leads the CEO's personal support, so you'll always have someone to learn from and lean on.
