Our client is building AI agents for the physical economy, a multi-trillion-dollar industry that still runs on phone calls, spreadsheets and manual workflows. Backed by top-tier venture firms and growing revenue
several times over in under two years, the company is scaling quickly toward its next chapter, with a leadership team drawn from some of the most respected names in tech.
At the center of it is a technical founder and CEO, an engineer and former product leader at major tech companies, who is now looking for a true partner to give him leverage.
This is not a “manage the calendar” job
This is an “own the calendar” job. The difference matters. You won’t just react to scheduling requests. You’ll shape how the CEO spends his week, decide what gets his time and what doesn’t, and make sure every important thread reaches a close. You’ll sit near the center of the company, see how every major initiative comes together, and be trusted with real judgment calls.
What you’ll own
You’ll run the CEO’s calendar end to end, with strategic weekly planning rather than reactive booking. You’ll triage his inbox, draft replies, and close loops on his behalf. You’ll handle complex domestic and international travel, including rerouting in real time when plans fall apart at the gate. You’ll chase
customer, candidate and investor threads until they’re confirmed and done. You’ll prepare pre-reads and materials for external meetings and board sessions, and you’ll take on strategic projects directly for the CEO as they come up.
You’ll thrive here if you
• Have 8+ years of experience, including supporting a founder, CEO or senior executive with heavy daily meeting volume
• Close open loops without being asked twice, and see scheduling as an outcome you own rather than admin you process
• Stay precise with calendars, time zones and multi-leg travel even when volume spikes
• Are comfortable making calls on competing priorities and protecting an executive’s time, including saying no on his behalf
• Stay calm and resourceful when cancellations and last-minute changes hit

Compensation and benefits
Base salary of $150,000–$200,000 depending on experience, plus meaningful equity. Benefits include health, dental and vision coverage, flexible paid time off, 401(k), paid parental leave, life and disability insurance, an annual learning and development stipend, commuter benefits, daily catered lunches, late-night ride coverage, monthly team events and annual company offsites.
Location
San Francisco, in office. The CEO travels roughly 35–45% of the year, and there’s added flexibility during those periods.
