Our client is a frontier AI company with teams across Palo Alto, London, and Zurich, building cutting-edge technology at the forefront of AI. Their CTO is at the center of that work, and they need a trusted partner who can take the operational weight off their shoulders so they can focus on what only they can do.
This is a hands-on, high-trust role for someone who is organized to the core, proactive by instinct, and happiest when solving problems. You'll protect the CTO's focus, extend their capacity, and help shape how a fast-growing technology company operates.
What you'll own
• Time across time zones. You'll run the CTO's calendar, scheduling, travel, and day-to-day logistics, including board meetings, investor meetings, and high-priority external engagements.
• Preparation. Before important meetings, you'll make sure the right people are in the room and the right information and materials are ready.
• Signature events. You'll coordinate board meetings, conferences, offsites, dinners, and other high-priority gatherings from first idea to final detail.
• Momentum. You'll track commitments and action items, coordinate across teams, and keep priority work moving to completion.
• The undefined. You'll take ownership of ambiguous problems and special projects, figure out what needs to happen, and make it happen.
• Better systems. You'll continuously identify ways to make the CTO's workflow, and the organization around them, faster, simpler, and more effective.
What you bring
• 8+ years in executive support, executive operations, or a similar role, including direct support for a founder, CTO, or C-level executive.
• Experience in a high-growth startup or another fast-moving environment where priorities can change quickly.
• Exceptional attention to detail, strong organizational habits, and dependable follow-through.
• Clear, adaptable communication, with the ability to work effectively with everyone from researchers to investors and board members.
• Professionalism, sound judgment, and complete discretion when handling sensitive matters.
• A strong ownership mindset. You solve problems instead of debating whose responsibility they are.
• Comfort with ambiguity, a bias for action, and the ability to build lightweight processes where none exist.
• Genuine curiosity about AI and the technology the company is building.
• Hands-on experience using AI tools to make your own work faster, sharper, and more efficient.
