We're partnering confidentially with a fast-growing frontier AI company to find an exceptional Executive Business Partner.
Executive Business Partner to the VP, Policy
Frontier AI Company
Palo Alto, CA (On-site) | $160,000 – $200,000
The opportunity
Some roles keep a calendar running. This one keeps a company moving.
Our client is building some of the most ambitious technology in AI, with teams in the U.S. and Europe.
Their VP of Policy works where research, regulation, investors, and the board meet, and they need a true partner beside them. This isn't a traditional assistant role. It's a high-trust seat for someone who sees around corners, takes on hard problems without being asked, and finds satisfaction in making a leader and an organization work better.
You'll have a front-row seat to company-building at a defining moment for AI, and your influence will reach well beyond one calendar.
What you'll own
• The VP's time and focus. You'll manage a calendar, travel, and logistics across multiple time zones, including board meetings, investor conversations, and high-stakes external engagements.
• Meeting readiness. You'll make sure the VP walks into every important meeting with the right people, context, and materials already in place.
• Moments that matter. You'll run board meetings, conferences, offsites, and executive dinners end
to end, so nothing is left to chance.
• Follow-through. You'll track commitments and action items, coordinate across teams, and make sure priority work gets done.
• Ambiguous problems. You'll take on special projects where the path isn't defined, work out what needs to happen, and then make it happen.
• Ways of working. You'll keep looking for ways to make the VP's workflow, and the wider organization, faster, simpler, and sharper.
You might be the one if...
• You have 8+ years in executive support, executive operations, or a similar role, including direct partnership with a founder, CTO, VP, or C-level leader.
• You've done your best work in high-growth startups or similarly fast-paced environments.
• Details don't slip past you, and your follow-through is the kind people rely on without thinking about it.
• You write and speak clearly, and you're as comfortable with researchers as you are with investors and board members.
• People trust you with sensitive information because your judgment and discretion are beyond question.
• When you spot a problem, you solve it rather than asking whose job it is.
• Ambiguity energizes you. You move quickly and build lightweight processes where none exist.
• You're curious about AI and what it can do, and you already use AI tools to work faster and smarter.
• You're low-ego, high-impact, and you'd rather see the team win than take credit.
Why this role stands out
• Proximity to the frontier. You'll work inside a company shaping the future of AI, at the point where technology meets policy.
• Real ownership. You'll be trusted as a strategic partner, not treated as a support function.
• Outsized impact. You'll help shape how a high-growth organization operates as it scales.
• Competitive compensation. The base salary range is $160K–$200K, with more to discuss in confidence.
