A mission-driven, research-focused nonprofit is pursuing an ambitious scientific initiative at the frontier of neuroscience. The team is building advanced tools and infrastructure to enable breakthrough discoveries in brain science — and they’re looking for a highly organized, execution-oriented Scientific Operations Manager to help bring structure and clarity to that work.

This is a hands-on, cross-functional role ideal for someone who thrives behind the scenes ensuring complex scientific programs move forward seamlessly. You’ll partner closely with scientific leadership and operations to strengthen documentation systems, coordinate workflows, and build the operational rigor that allows researchers to focus on discovery.

This role is fully onsite in Alameda, CA.


THE JOB:

You will serve as an operational backbone for a growing interdisciplinary team of scientists and engineers — ensuring meetings translate into action, documentation stays disciplined, and administrative systems scale with the organization.

Key Responsibilities:

• Drive scientific program coordination by managing complex scheduling, capturing actionable notes, tracking commitments, and maintaining visibility across milestones and OKRs
• Strengthen documentation systems (SOPs, shared records, knowledge tools) to ensure clarity, consistency, and accountability across teams
• Support compliance and regulatory administrative workflows, maintaining organized records and audit readiness
• Manage hiring and contractor operations, including job postings, onboarding logistics, systems access, and reimbursement workflows
• Coordinate financial and logistical processes such as vendor onboarding, reimbursements, conference registrations, travel, shipping (including cold-chain), and visitor arrangements
• Maintain operational systems and communications channels (shared inboxes, SaaS tools, website updates) to ensure smooth internal and external coordination

ABOUT YOU:

• 3–6+ years of experience in operations, program coordination, research administration, or similar execution-heavy roles 
• Master's degree in a neuroscience-related field
• Exceptionally organized with meticulous attention to detail
• Strong written communication skills and disciplined follow-through
• Comfortable managing structured documentation systems and workflow tracking tools
• Confident coordinating across multiple stakeholders in fast-paced, technical environments
• Proficient with tools such as Google Workspace, Slack, Notion, Zoom, and similar platforms
• Discreet and thoughtful when handling sensitive information
• Able to work onsite in Alameda and thrive in a collaborative environment

Nice to have:

• Exposure to scientific research environments, biotech, or neuroscience
• Experience in a nonprofit, startup-style, or mission-driven organization
