Step into the heart of Silicon Valley’s next big thing. This stealth-mode B2B Agentic AI startup is gearing up for a breakout year and needs a powerhouse Executive Assistant & Operations Partner to keep the momentum sharp. Based onsite in San Jose (5 days/week), you’ll be embedded with two visionary founders at the forefront of AI innovation. 
This role is equal parts executive support, operations strategy, and business partnership. With a competitive salary of $170K–$190K, you’ll gain a front-row seat to startup building at the highest level, shaping systems and processes that will define the company’s growth trajectory. The Job

• Executive Support: Manage complex calendars, coordinate travel (often last minute), and process expenses for CEO and COO.
• Operational Backbone: Oversee HR and payroll administration (Gusto), liaise with external accounting, and support ATS implementation (Ashby).
• Communication & Coordination: Improve internal communications, streamline all-hands meetings, and optimize workflows across client projects.
• Strategic Support: Serve as a thought partner to leadership, advising on hiring priorities, back-office systems, and time management.
• Scalable Infrastructure: Build and refine operational processes that reduce inefficiencies and prepare the company for rapid growth.
  
  

About You

• 5+ years of experience in executive support, business operations, consulting, or a similar role.
• Proven ability to “manage up”—anticipating needs, influencing priorities, and enabling leaders to focus on what matters most.
• Comfortable switching between strategic problem-solving and hands-on execution.
• Highly organized, proactive, and detail-oriented, with excellent written and verbal communication skills.
• Energized by fast-paced, founder-driven environments; ideally a morning person to align with East Coast-heavy schedules.
• Startup, AI, or high-growth tech experience a plus.
