One Tech Engineering is searching for a Project Assistant for a position located in Houston, Texas. The Project Assistant will provide administrative support to the project team, ensuring that tasks are completed on time and effectively communicated.
  
The candidate must be a US Citizen or a green card holder, the position is not eligible for sponsorship. The candidate should have a High School Diploma or GED and previous office/clerical experience.
  
Local candidates preferred or open to relocation. This is not a remote position.

Project Assistant Responsibilities:

• Serve as the point of contact for coordinating and facilitating report creation.
• Create and maintain master report templates for monthly progress, weekly status reports, and FEP reports.
• Coordinate, expedite, and follow up with various disciplines for report content.
• Format, finalize, and issue reports to internal teams and clients in accordance with the Project Distribution Matrix.
• Collect meeting minutes and notes from project team members.
• Maintain and update presentation templates.
• Coordinate with project contacts to gather content for monthly progress and other client presentations.
• Format and finalize presentations for client meetings.
• Handle administrative project documents, including document locator transmittals and notifications to clients and internal teams.
• Ensure proper file naming and location according to project document management guidelines.
• Coordinate internal and client meetings, including room reservations, invitations, catering, and meeting setup.
• Attend meetings as needed to take minutes on behalf of the project manager (PM).
• Process and troubleshoot expense reports for project managers and project engineers.
• Assist with booking travel arrangements related to the project.
• Maintain and update internal and client action lists, as directed by project engineers.
• Track updates and ensure timely follow-ups on action items.

• High School Diploma/GED required.
• Applicable office/clerical experience is required.
• Proficient in Microsoft Word, Excel, Access and PowerPoint required.
• Strong communication skills.
