We are seeking a highly organised, proactive, and experienced Executive Assistant to provide high-level support to the Chief Executive and Executive Leadership Team. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing diverse responsibilities, and can confidently oversee administrative operations.
About the Role
As the Executive Assistant, you will be responsible for coordinating executive-level support, managing office operations, and leading the administration team. This role requires exceptional organisational skills, professionalism, and the ability to handle confidential information with discretion.
You will oversee daily administrative functions, ensure efficient office operations, coordinate executive travel, support event management, and maintain accurate and confidential records. You will also supervise the administration team and collaborate closely with HR, IT, Finance, and other key departments.
Key Responsibilities
- Provide professional support to the CEO and Executive team
- Manage confidential information with the highest level of discretion
- Lead and supervise administrative staff, including hiring, scheduling, training, and performance reviews
- Oversee daily office operations and maintain a safe, well-organised workplace
- Manage departmental budgets and resources
- Ensure office supplies and equipment are maintained and operational
- Coordinate meetings, events, correspondence, and record management
- Handle domestic and international travel arrangements, including flights, accommodation, and per diems
- Manage travel accounts and ensure compliance with company policies
- Oversee reception operations and ensure strong internal and external communication
- Manage Workers Compensation and incident reporting
- Coordinate motor vehicle fleet administration
- Liaise with Finance to ensure payments and vendor invoices are processed on time
- Maintain organised filing systems, licences, and compliance documentation
- Support non-citizen onboarding processes with HR and IT
- Coordinate annual conferences, special events, and internal activities
- Oversee transport logistics and driver scheduling
- Review donation requests and prepare recommendations for Executive approval
- Provide support to related corporate foundation activities
- Perform additional duties as required by Executive Management
Qualifications & Skills - Bachelor's Degree in Business Management or related field
- Minimum 5 years' experience in office administration
- At least 3 years' experience in an Administration Manager or Supervisor role
- Strong organisational ability and exceptional attention to detail
- Excellent time management skills
- Ability to work outside normal business hours when required
- High level of integrity and ability to manage sensitive information
- Proficiency in MS Office applications
- Strong leadership capability with experience managing diverse teams
- Excellent communication and interpersonal skills
