Join Our Team as an Office Administration Officer!
As an Office Administration Officer, you will play a crucial role in ensuring the smooth and efficient operation of Asters’ head office. This position provides essential administrative support, manages communications, coordinates office facilities, and maintains accurate data records, enabling staff and management to focus on delivering outstanding care to the community.
This is a full-time, 6-month fixed-term contract based at our head office in the vibrant beachside suburb of Miami. Flexibility to work between 7:00am - 6:00pm is required, with hours scheduled to align with the business’s needs.
Key Responsibilities:
Your responsibilities will include, but are not limited to:
General Administration
- Answer and direct incoming phone calls courteously and efficiently.
- Respond to email inquiries promptly and professionally.
- Perform accurate data entry and maintain electronic and physical records.
- Assist with scheduling meetings, appointments, and other administrative tasks.
- Assist with minute taking in staff meetings.
- Process staff leave and timesheets
- Maintain a professional and welcoming office atmosphere for staff, clients, and visitors.
Office Facilities & Stock Management - Liaise with property managers, contractors, and suppliers to coordinate office maintenance and repairs.
- Ensure the office kitchen and communal areas are clean, tidy, and well stocked.
- Manage office supplies inventory, monitor stock levels, and place orders as needed.
- Manage nursing supply orders, monitor stock levels, and coordinate procurement and delivery as required.
People & Culture Support - Support the recruitment process including data entry, filing, candidate screening, and interview bookings.
- Coordinate the new starter onboarding process, equipment preparation, and pre-employment document checks.
- Maintain and update staff employment files with accuracy and confidentiality.
- Facilitate induction days for new starters.
Social Media Coordination - Assist in creating, scheduling, and publishing content across Aster’s social media platforms (Facebook, Instagram, LinkedIn).
- Monitor social media channels, respond to comments and messages in a timely and professional manner.
- Collaborate with the team to develop engaging content that reflects Aster’s values and brand.
- Support the coordination of internal and external communications to promote company culture and news.

What we are looking for: - Strong verbal and written communication skills.
- Excellent organisational and multitasking abilities.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook) and data management systems.
- Ability to work independently with minimal supervision and collaboratively within a team.
- Customer service orientation with a professional and friendly demeanor.
- Attention to detail and commitment to accuracy in data handling.
- Problem-solving skills and the ability to liaise effectively with external contractors and internal stakeholders
