Join Our Team as an Office Administration Officer!
As the Office Administration Officer, you will play a crucial role in ensuring the smooth and efficient operation of Asters’ head office. This position provides essential administrative support, manages communications, coordinates office facilities, and maintains accurate data records, enabling staff and management to focus on delivering outstanding care to the community.
This permanent part-time role offers 30 hours per week, based out of our head office which is conveniently located by the beach in the beautiful suburb of Miami. Flexibility to work between 7:30am and 5:30pm is required, with hours scheduled to align with the business’s needs.
Key Responsibilities:
- Answer and direct incoming phone calls courteously and efficiently.
- Respond to email inquiries promptly and professionally.
- Liaise with property managers, contractors, and suppliers to coordinate office maintenance and repairs.
- Ensure the office kitchen and communal areas are clean, tidy, and well stocked.
- Manage office supplies inventory and order as needed.
- Perform accurate data entry and maintain electronic and physical records.
- Assist with scheduling meetings, appointments, and other administrative tasks.
- Support general office management duties to facilitate a productive work environment.
- Maintain a professional and welcoming office atmosphere for staff, clients, and visitors

What we are looking for: - Strong verbal and written communication skills.
- Excellent organisational and multitasking abilities.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook) and data management systems.
- Ability to work independently with minimal supervision and collaboratively within a team.
- Customer service orientation with a professional and friendly demeanour.
- Attention to detail and commitment to accuracy in data handling.
- Problem-solving skills and the ability to liaise effectively with external contractors and internal stakeholders
