A well-established commercial real estate firm is seeking a highly experienced Office Administrator to oversee daily operations and support a team of principals and independent contractors. This is a critical, high-visibility role requiring strong financial, operational, and organizational expertise.
Key Responsibilities:
- Manage payroll, commissions, and employee records (ADP)
- Oversee accounts payable/receivable, bank reconciliations, and financial reporting
- Coordinate with external partners (accounting, PR, insurance, vendors)
- Prepare transaction documentation and maintain deal files
- Support brokers with proposals, contracts, and reporting
- Lead onboarding, training, and office operations
- Ensure compliance with licensing, tax filings, and regulatory requirements
Qualifications:
- 10+ years managing a complex office environment
- Strong experience with Quicken and advanced Excel (macros/formulas)
- Proficiency in Microsoft Office, Teams, SharePoint, Adobe (CRM/WordPress a plus)
- Exceptional organizational and multitasking skills
- Bachelor's degree required; Notary Public a plus
