Southern Cross Care is seeking a friendly and efficient full-time Administration Manager to provide effective and confidential administrative support to the Residential Manager at our Castra Residential Aged Care Home in Murgon.

About the role
Working in this role, you will provide effective and confidential administrative support to the Residential Manager across admission of residents, day to day administration of the facility including but not limited to rostering and reporting as well as other duties as directed by the Residential Manager.
You will have excellent organisational skills, exceptional attention to detail and solid IT skills to ensure the home’s administrative processes are streamlined and effective. You’ll have great interpersonal skills and enjoy being the first person to greet visitors, families and loved ones to the home; and be a go-to person for general enquiries.
Some of your duties will include but not be limited to:
- Oversee and manage effective operational administrative activities including management of the administrative staff
- Assist the Residential manager with recruitment, onboarding and induction of new employees
- Assist the Residential Manager updating and managing the roster in conjunction the rostering team
- Liaise with Residential Manager when vacancies occur to ascertain type of Resident required
- Liaise with Resident / Family and refer them to Head of Finance and Administration or Resident Admissions / Billing Officer
- Prepare Resident’s records for new Residents
- Maintain Residential and Respite Waiting Lists
- Meet with Resident’s family to sign for respite accommodation
- Answer telephone enquiries and transfer calls to appropriate staff
- Maintain relevant documentation (e.g. Resident lists) at the direction of the Residential Manager
- Maintain petty cash
- Assist Residents and staff with enquiries
- Maintenance of various computer data bases and compliance activities
- Process invoices in preparation for payment
- Maintain staff personal records including registrations and certificates
- Assist in minute taking for committee meetings
- Quality issues notified as soon as practicable to appropriate staff member/s and/or management
- Work practices and processes carried out as instructed and in accordance with duty of care, residents’ needs and quality guidelines
- Government Quality Standards understood and complied with

What will you bring to the role?
- Experience working in an administrative role within Aged Care or Health care setting (desired).
- Certificate 111 in Business Administration or higher (desirable)
- Administrative and reception experience.
- Understanding of staff rosters.
- Excellent written, oral and numerical skills.
- Problem solving skills and ability to prioritise tasks.
- Excellent interpersonal & communication skills with the ability to communicate with a diverse range of people.
- High level information technology skills including working knowledge of Microsoft Office applications.
