About the Role
This is an exciting opportunity for an administration professional looking to build their career with one of Australia's most respected family-owned wineries.
Based in Rutherglen, this full-time position is worked Monday to Friday, 9.00 am to 5.00 pm. Reporting to the Sales & Marketing Manager, you will support the day-to-day operations across sales administration, customer service, Wine Club administration and executive support. From managing phone calls and emails to processing orders, coordinating requests and ensuring information flows efficiently throughout the business, you'll play a vital role in keeping the business running smoothly.
As part of a small and collaborative team, you will provide daily lunch break relief in the Cellar Door and assist during busy trading periods, helping to deliver the exceptional customer experience for which Stanton & Killeen is renowned. Strong customer service skills are essential, however previous wine knowledge is not required as training will be provided.
Working closely with the Sales & Marketing Manager and Managing Director, you will have the opportunity to further develop your skills, broaden your experience and make a valuable contribution to the continued success of the business.
Duties
Key responsibilities include:
- Processing direct, wholesale, distribution and export orders
- Preparing invoices and coordinating product dispatch
- Managing customer enquiries via phone and email
- Supporting Wine Club administration and member communications
- Provide daily Cellar Door coverage during lunch breaks and support during busy trading periods
- Maintaining accurate sales, customer and product information across business systems
- Preparing reports and monitoring sales data
- Providing Executive Assistant support to the Managing Director, including travel coordination, document preparation and general administrative assistance
- Assisting with Shopify, CRM and business systems administration
- Supporting wine show entry administration, including coordinating sample logistics and maintaining accurate records
- Supporting general office administration and contributing to continuous business improvement initiatives
Skills & ExperienceTo be successful in this role, you will bring:
- Previous experience in administration, sales support, office coordination or executive assistance
- Exceptional organisational skills and meticulous attention to detail
- Excellent written and verbal communication skills
- A proactive, customer-focused approach with a commitment to delivering outstanding service
- Strong time management skills with the ability to manage competing priorities
- Confidence using business systems and Microsoft Office, with the ability to quickly learn new technologies
- Experience using systems such as Shopify, Xero, CRM platforms or similar will be highly regarded
