Our client in downtown Buffalo, NY, is looking for a Facilities Manager to join their team!
This is an onsite/full-time/direct-hire position
Salary based on experience: Up to $78k
We are seeking a dependable, hands-on Facilities Manager to oversee the daily operations of a 39,200 sq. ft. commercial office building in Downtown Buffalo. This role requires strong ownership, a consistent on-site presence, and the ability to manage facilities within a structured environment with established processes and approvals.
Key Responsibilities
- Oversee all building operations, ensuring efficient, safe, and compliant facility performance
- Manage vendor relationships and contract execution, ensuring adherence to service level agreements
- Develop and implement preventive maintenance programs and long-term facility plans
- Supervise vendors and on-site personnel, ensuring work is completed on time and to established standards
- Perform and/or coordinate routine maintenance, including basic electrical, plumbing, lighting, and general repairs
- Support seasonal property needs, including supplemental snow removal at entrances and walkways as needed
- Maintain inventory of building supplies and ensure operational readiness at all times
- Coordinate office reconfigurations, including moving, assembling, and disassembling furniture and equipment
- Partner with client representatives on projects outside the scope of standard contracts, including obtaining competitive bids
- Review and approve invoices for services, materials, and project work
- Support capital improvements, facility upgrades, and ongoing building projects
- Respond to after-hours emergencies as needed to ensure business continuity
Knowledge, Skills, and Abilities - Minimum 3 years of commercial building or facilities experience
- Staff supervision experience required
- Proven ability to work independently in an unsupervised environment
- Experience with self-directed work and accountability for assigned responsibilities
- Hands-on capability with minor electrical and plumbing work, changing light bulbs, etc.
- Strong communication, organization, and follow-through
- Experience coordinating vendors and enforcing performance standards
- Comfortable working within structured client approval processes
- Microsoft Office proficiency required
- Building engineer experience preferred
- Capital improvement budgeting experience is a plus
There might be occasional overtime, including during snowstorms, when the health and safety of staff are paramount. The Building Superintendent is responsible for ensuring the snow removal vendor performs as required and safe conditions are maintained. This may also include weekend hours for sporadic work that must be completed when the building is vacant of client staff.
Candidates must demonstrate strong reliability, consistent attendance, and integrity in reporting time and work performed. This role is best suited for individuals who can operate independently while adhering to defined processes and client oversight.
