Our client in Albany, NY, is seeking a Construction Operations Assistant to join their team!
This is an on-site/full-time/direct hire position
Salary based on experience: Up to $35/HR
The Construction Operations Assistant plays a key role in supporting daily office, estimating, and warehouse operations for the Albany branch. This role ensures smooth coordination across departments by managing documentation, scheduling, job setup, materials handling, and communication with internal teams and external partners. The ideal candidate is organized, detail-focused, and proactive in maintaining efficient operational workflows.
Key Responsibilities: Estimating Support (10%)
- Obtain digital and paper project drawings for upcoming bids
- Review bid instructions, specifications, and related documents
- Conduct research to gather project details and requirements
- Assist management with preparing cost estimates for labor, materials, and equipment
- Maintain estimating schedules and associated deadlines
- Enter, print, and distribute proposals to customers and follow up as required
- Participate in weekly bid follow-up meetings and provide status updates
- Other duties as assigned
Warehouse Coordination (20%) - Order materials from internal and external suppliers
- Add materials to stock and operate a forklift as needed
- Track tools and equipment; coordinate repairs
- Collaborate with drivers to stage job orders
- Load and unload job materials and returns
- Support management with data entry and reporting tasks
- Send correspondence to vendors and other offices regarding order tracking
- Maintain warehouse cleanliness and equipment organization
- Other duties as assigned
Administrative Support (70%) - Open and close the office daily
- Provide data entry and reporting support to management
- Send correspondence to customers and employees
- Assist with new employee onboarding, documentation, and setup
- Create new job files in the company's system
- Prepare and distribute weekly project schedules ahead of Tuesday and Thursday meetings
- Track vehicle registrations and preventative maintenance schedules
- Other duties as assigned
Qualifications: - Strong multitasking abilities and the ability to prioritize effectively
- Self-motivated and comfortable working independently
- Excellent communication skills
- High accuracy and attention to detail
- Proficiency in Microsoft Office (especially Excel) and network/cloud storage
- Ability to work within database applications for bid entry and proposal generation
- A satisfactory combination of education and experience
- Experience in the construction industry preferred
- Reliable transportation and a valid driver's license
Preferred Qualifications: - One year of construction experience
- Prior administrative or warehouse coordination experience
- Familiarity with estimating or project coordination environments
