Position OverviewOur client is seeking a motivated and solutions-oriented RMA Coordinator with extensive experience in material handling, specifically in managing and coordinating material returns. This role involves processing and tracking service-related RMAs, including equipment and parts from Field Service teams and Production facilities. The RMA Coordinator will also source replacement parts from inventory, vendors, or Production. The ideal candidate will possess excellent communication, problem-solving, and time-management skills.
Key Responsibilities - Track RMA materials from the field, production, or vendors as needed.
- Manage RMA inventory in Field Service warehouses.
- Process and follow up on open RMA orders.
- Source replacement equipment/parts to support field technicians.
- Collaborate with internal teams, including Field Service, purchasing, warehouse, shipping, and accounting, to close RMA orders.
- Manually handle RMA orders, including loading/unloading pallets or skids (forklift license required).
- Validate material requirements and update inventory in multiple IT systems.
- Ensure quality checks and required documentation are completed.
- Coordinate with vendors for item returns, replacements, or credit notes.
- Adhere to existing RMA processes and identify opportunities for improvement.
- Assist purchasing teams with information needed for procuring parts/equipment.
- Notify stakeholders of any material delays promptly.
- Expedite and manage material flow across departments while addressing production challenges.
- Proactively improve processes to enhance organizational efficiency and effectiveness.
Qualifications - Minimum 3 years of RMA experience, preferably in a field service environment.
- Proficiency in computer systems (e.g., MS Office Suite, ERP, and other IT tools).
- Strong organizational, multitasking, and prioritization skills.
- Ability to work independently and collaboratively in a team environment.
- Effective communication, problem-solving, and time-management skills.
- Capability to lift heavy materials (up to 50 lbs).

Education and Experience - BA/BS degree preferred but not required.

Work Environment and Physical Requirements - Vision: Extended periods working on a computer screen.
- Mental Demands: Ability to interpret, analyze, and manage multiple tasks simultaneously.
- Environment: Primarily a climate-controlled office setting.
