Role Overview
We're seeking an experienced and highly capable Executive Assistant to provide seamless, high-level support to our senior executives. Working as part of a collaborative two-person Executive Support function, you'll play a pivotal role in keeping our Executive team organised, prepared, and operating at their best.
From complex diary management and stakeholder liaison to travel coordination, finance support and meeting preparation, you'll ensure priorities are managed smoothly and professionally. Beyond executive support, you'll also contribute to the efficient day-to-day running of the office, helping create a well-organised and positive workplace environment.

Key Responsibilities
- Provide high-level administrative and office support to the Executive Group, including managing complex and dynamic diaries for two Executives, scheduling meetings, appointments, and ensuring effective time management.
- Monitor and scan Executive emails, flagging urgent or priority correspondence and ensuring follow-up actions are tracked and completed through CX Cards, emails, and diarised reminders.
- Act as the first point of contact for Executive visitors, maintaining a professional and welcoming environment while building strong relationships with internal and external stakeholders and Executive Assistants to facilitate timely access to meetings and appointments.
- Assist internal staff with access to Executives, ensuring requests are managed efficiently and appropriately.
- Coordinate and manage travel arrangements for the Executive Group through the company travel agent, including flights, accommodation, transport, and itineraries.
- Process and manage finance and expense claims for the Executive Group.
- Reconcile the corporate Uber account on a monthly basis.
- Support corporate business functions, workshops, team events, internal meetings, and special functions, including preparing meeting rooms and arranging catering.
- Maintain the smooth day-to-day operation of the office by purchasing and managing office supplies, stationery, pantry and fridge items, and coordinating grocery shopping to ensure adequate stock levels.
- Ensure the office, kitchen, meeting rooms, and staff amenities are tidy, well-maintained, and presentable at all times.
- Assist with CX Card creation and updates, including diarising follow-up actions and appointments.
- Perform general administrative and ad hoc office tasks as required, including filing, printing, scanning documents, and responding to additional Executive or office support needs as they arise.
- Provide leave coverage for the other Executive Assistant as required.
