Responsibilities:
Medical Interpretation
Facilitate accurate communication between patients and healthcare providers in Japanese and English.
Interpret medical information, including diagnosis, treatment plans, and advice during consultations.
Perform consecutive interpretation and take notes to ensure clarity and completeness.
Simplify complex medical concepts for patient understanding.
Maintain patient confidentiality and uphold cultural sensitivity.
Act as a cultural and linguistic resource to support effective patient care.
Clinic Operations
Oversee daily clinic operations, administration, and patient flow efficiency.
Implement and monitor policies, procedures, and service standards.
Manage billing processes, insurance handling, and payment transactions.
Ensure proper use and troubleshooting of electronic medical record systems.
Monitor compliance with operational and regulatory standards.
Address and resolve patient, staff, and stakeholder concerns effectively.
Handle patient enquiries via phone, email, and messaging platforms in a timely manner.
Prepare reports, analyse operational data, and provide regular updates to management.
Maintain and update operational policies and documentation.
Coordinate staff scheduling, monitor attendance, and support performance management.
Lead, coach, and support team members to achieve operational and service goals.
Participate in recruitment, onboarding, and training of new employees.
Ensure adequate inventory, equipment maintenance, and facility upkeep.
Support procurement processes in accordance with internal procedures.
Reception, Administration & Dispensing
Handle patient registration, appointment scheduling, and records preparation.
Manage billing, invoicing, and payment collection accurately.
Prepare insurance claims and liaise with insurance providers when required.
Manage documentation, reports, filing, and correspondence.
Coordinate laboratory reports and patient follow-ups.
Perform daily, monthly, and financial reporting tasks.
Manage stock replenishment and ordering of supplies.
Support dispensing functions, ensuring accuracy in medication preparation and labelling.
Provide accurate medication instructions and verify prescriptions with healthcare providers when necessary.
Maintain infection control standards and respond appropriately to emergencies.
Requirements:
Minimum 2 years of experience in customer service or healthcare/clinic environment is preferred.
Proficiency in Japanese for liaising with Japanese-speaking patients and stakeholders.
Strong communication and interpersonal skills, with the ability to engage professionally with diverse stakeholders.
Good understanding of cultural sensitivities and patient confidentiality requirements.
Proficient in computer systems and applications, including medical record systems.
Strong problem-solving and organisational skills with attention to detail.
Good numerical skills for handling billing and administrative tasks.
