Support regional construction projects by managing documentation, reporting, and coordination to ensure efficient project control and compliance

Responsibilities:
Collect and consolidate project information from construction sites across Asia, including quality, schedule, cost, change orders, manpower, safety, and environmental data.
Ensure timely and accurate retrieval of project data to support decision-making.
Organize, file, and maintain project documents using MS Office and document control systems.
Maintain an accessible and well-structured document repository for management and stakeholders.
Manage Integrated Management System (IMS) documentation and support internal and external audits.
Coordinate with safety and environmental teams to gather compliance-related data and documentation.
Monitor adherence to safety protocols and environmental regulations across project activities.
Attend project meetings to capture updates on project status, safety, and environmental matters.
Prepare meeting materials and ensure document readiness for discussions.
Record, transcribe, and distribute accurate meeting minutes, including action items and key decisions.
Compile monthly reports on project performance, safety metrics, and environmental impact.
Support data analysis activities to identify trends and provide insights for continuous improvement.
Facilitate communication among project teams, management, and cross-functional stakeholders.
Respond to queries and provide project-related information as required.
Utilize data analysis tools to interpret and present project data effectively.
Requirements:
Bachelor’s degree in Management, Hospitality, Engineering, Business, or a related field.
Minimum 3 years of relevant experience in project control, document control, or similar functions.
Proficiency in Japanese language for reviewing documents, preparing reports and meeting minutes in Japanese, and liaising with Japanese-speaking stakeholders; JLPT N1 or N2 is preferred.
Experience in construction-related environments with exposure to quality, safety, and environmental management.
Proficiency in MS Office applications (Excel, Word, PowerPoint); knowledge of MS Power BI is an added advantage.
Strong typing, document editing, and data organization skills.
Basic knowledge of labour and corporate law.
Strong organizational, analytical, and communication skills.
