Responsibilities:
Provide secretarial support to assigned partners, including document preparation and scheduling meetings, appointments, and business trips.
Maintain and update client files and records.
Prepare and issue invoices to clients.
Translate documents, emails, and communications as required.
Support various secretarial tasks requested by management and lawyers.
Handle office administration and facility matters, including liaising with landlords and service providers.
Coordinate with suppliers for office-related subscriptions, courier services, pantry supplies, stationery, and other items.
Arrange accommodation, transport, and dining for guests and staff.
Liaise with external authorities and service providers on operational matters.
Assist with basic IT troubleshooting and coordinate with IT teams or vendors.
Support accounting-related matters in collaboration with internal finance or accounting firms.
Organize company seminars, events, and corporate functions.
Manage client relationships to support business operations.
Ensure smooth day-to-day operations of the office.
Requirements:
Minimum 3 years of experience in secretarial and/or administrative roles.
Proficiency in Japanese language for liaising with Japanese-speaking clients and stakeholders (JLPT N1 preferred; N3 accepted).
Business-level proficiency in English for liaising with English-speaking clients and stakeholders.
Proficient in MS Office applications, including Word, Excel, and PowerPoint.
Well-organized, positive, proactive, and a strong team player with a willingness to learn.
Experience working in a law firm as a secretary or administrator is an added advantage.
