PRIMARY FUNCTION:
Assist in the preparation and consolidation of corporate reports and presentation materials.
Coordinate schedules, logistics, and communications for corporate meetings, conferences, and events.
Liaise with internal departments to collect required information and ensure documents are accurate and consistent.
Handle ad-hoc administrative tasks and information requests as directed by senior staff.
Ensure accuracy, attention to detail, and compliance with company templates and reporting standards in all documentation.
PRINCIPAL DUTIES / RESPONSIBILITIES:
Preparation of corporate meetings and conferences
Coordinating, preparing, and consolidating presentation and supporting material for Board of Directors meetings, ensuring accuracy, consistency, and timely submission.
Liaise with relevant departments to gather required information, review content, and ensure alignment with corporate strategy and governance standards.
Coordination of internal reporting
Coordinate, prepare, and consolidate monthly business reports, ensuring accuracy, clarity, and timely submission to the company's management, Headquarters, Singapore Branch, etc.
Manage and respond to ad-hoc information requests and research assignments from headquarters, working cross-functionally with internal departments to collect and verify necessary data.
Coordination of International Conference Participation
Consolidating and coordinating all aspects of international conference participation, including hotel and flight arrangements, preparation of meeting schedules, and liaise with internal and external counterparts to ensure smooth execution.
Any other ad-hoc duties assigned.
Requirements :
At least 3 years of experience in a corporate secretary, or administrative role in a corporate environment.
Fluent in Japanese (JLPT N1) at a business level for effective communication with Japanese-speaking internal and external stakeholders
Proficient in using MS Office
Ability to thrive in a fast-paced work environment
Organized, detail-oriented, positive mindset, capable of collaborating within a team while also excelling independently
