Responsibilities:
This role requires someone who thrives in a fast-paced, dynamic environment and is comfortable managing frequent last-minute changes to schedules. 

• Manage and coordinate the Chairman and CEO’s daily schedules, including organizing meetings, appointments, and travel arrangements.
• Handle sudden and frequent last-minute schedule changes, ensuring all stakeholders, including the Singapore team and international contacts, are promptly informed.
• Process claims and ensure accurate documentation and communication.
• Coordinate and update all relevant stakeholders on any scheduling changes, ensuring alignment across teams and locations.
• Provide administrative support, including preparation for meetings and, at times, assistance with personal tasks like arranging meals during busy workdays.
• Ensure flawless attention to detail, as mistakes are highly visible to senior management.
• Adapt to the demands of working with high-level executives, which may include working beyond regular office hours.

Requirements:

• Min 2-3 years' experience as a secretary
• Proficient in English and Japanese (JLPT N1) to liaise with internal and external Japanese counterpart
• Strong organizational skills, attention to detail, and the ability to manage complex, fast-changing schedules.
• Comfort in handling last-minute changes and communicating effectively with a wide range of stakeholders.
• Ability to maintain discretion and professionalism when dealing with VIPs and sensitive information.
• Willingness to commit to the demands of working with the Chairman and CEO, including flexibility with working hours

• Prior experience supporting senior executives in a life insurance or financial services environment.
