Responsibilities :
 
1. Executive Secretarial Duties (80%):

• Prepare and manage documents, reports, and correspondence.
• Organize and coordinate meetings, conferences, and travel logistics (including flights, accommodation, and transportation).
• Manage calendars, schedule appointments, and handle event coordination.
• Oversee internal and external communication, including emails and mail.
• Serve as a point of contact for inquiries and manage the flow of information within and outside the organization.

2. Sales Planning Support (20%)

• Prepare materials for sales meetings and consolidate forecasts.
• Maintain and update customer and user databases.
• Monitor sales opportunities and generate status reports.
• Assist in creating and managing digital content, including website updates and sales tools.
• Support planning and execution of events such as seminars, exhibitions, and webinars.
• Arrange and monitor email campaigns, social media, and online advertisements.

Requirements :

• A minimum of 3 years of experience in a similar secretarial or administrative role.
• Proficiency in Microsoft 365 applications, including Outlook, Teams, Excel, and PowerPoint.
• Strong verbal and written communication skills in English and Japanese to coordinate with counterparts in Japan.
• High level of security awareness and information literacy.
• Exceptional attention to detail and a proactive approach to supporting the team.
• Flexibility to handle multiple tasks and changing priorities effectively.
• Excellent interpersonal skills to collaborate effectively with internal and external stakeholders.
