Summary of the Job:
Responsible for preparing, coordinating, and submitting competitive and technically compliant tenders and bids. The role involves reviewing tender documents, preparing technical and commercial proposals, coordinating with internal departments and suppliers, and ensuring timely submission of accurate and competitive offers.
The role involves reviewing client RFQs and tender documents, understanding inspection requirements, preparing technical and commercial proposals, coordinating with inspectors and technical departments, obtaining subcontractor/service-provider quotations, preparing manpower and resource estimates, and ensuring timely and compliant submission of tenders.
Knowledge & Skills required
Excellent knowledge of Microsoft Excel, Word, and PowerPoint.
Ability to prepare cost calculations and pricing spreadsheets.
Ability to read and understand technical specifications, drawings, ITPs, and inspection procedures.
Familiarity with international inspection and quality standards.
Experience with ERP, CRM, tender-management, or document-management systems is an advantage.
Good report-writing and documentation skills.
Client Relationship Management.
UAE / GCC Driving License is a must.
JOB DESCRIPTION
Receive, register, and review client RFQs, ITTs, RFPs, and tender invitations.
Review tender requirements, scope of work, submission deadlines, and required documents.
Prepare tender checklists and maintain a tender/RFQ tracking database.
Coordinate with technical, inspection, operations, finance, and management teams to obtain required inputs.
Prepare and compile technical and commercial tender submissions.
Obtain quotations and rates from inspectors, subcontractors, laboratories, NDT providers, and other service providers.
Prepare quotation comparison sheets and coordinate pricing approvals.
Prepare and issue commercial quotations to clients.
Ensure all tender documents are complete, accurate, and submitted before the deadline.
Prepare and maintain company prequalification and registration documents.
Manage client/vendor registration and tender portals.
Maintain updated records of company licenses, ISO certificates, accreditation certificates, inspector CVs, HSE documents, and other supporting documents.
Coordinate with Operations to confirm inspector availability, qualifications, and manpower requirements.
Follow up with clients on submitted quotations and tenders.
Maintain records of awarded, lost, cancelled, and pending tenders.
Prepare weekly/monthly tender status reports for management.
Monitor quotation validity and follow up on pending opportunities.
Assist in preparing client presentations, company profiles, and prequalification submissions.
Support the Business Development team in identifying new tender opportunities.
Maintain confidentiality of client, pricing, and commercial information.
