The logistics officer will be responsible for coordinating the preparation, processing and verification of all export documentation, ensuring accuracy, compliance, and timely submission. This role requires strong attention to detail, excellent organisational skills, and comprehensive understanding of export regulations and documentation procedures. The role must work closely with internal teams, external partners, and regulatory authorities to facilitate smooth export operations and meet customer requirements.
Logistics and Documents:
- Maintain the company day-to-day logistic operations by coordinating warehousing, transportation and export certification and documentation.
- Maintain Import and Export shipments and associated documentation working with 3PL’s, freight forwarders and internal departments, including production, supply chain and warehouse departments.
- Create and raise E-certs such as, Transfer Documents (TD’S), Health, halal certs and Country of Origin documents for all Export orders.
- Work with 3PL to ensure Transfer certs are approved prior to inter-warehouse movements.
- Create necessary forms and submit to MPI to ensure Batches approvals are in place prior to Load instructions are sent to 3PL.
- Create NZ documents and co-ordinate with OGBS team to have full set of documents ensuring high level of accuracy and meet ON-Time deliverables.
- Provide short-term cover as and when required for Logistic Coordinator/Export-Coordinator.
- Meet defined OTIF (On time In Full and In Spec) and other KPI targets.
- Scan & Courier approved documents to Singapore.
Purchase orders & SAP: Coordinate the order purchasing, manage the order flow and maintain the operation of SAP.
- Request and review SAP generated purchase requests
- Complete Goods receipt for Service and Good’s PO.
- Post good Issue (PGI) for the sales order in timely manner.
Planning: Participate in the daily/ weekly meetings with key team members to discuss:
- Key participant in daily meetings to track documentation status and deliverables.
- Communicate Document lead times and delays to key internal/external customers.
- Communicate Batch approvals and any delays with issuing of Final docs including Health and Halal certs.
Experience & Knowledge: Minimum three (3) years’ experience in Supply chain, transport or freight experience required. SAP and Dairy experience an advantage.
Knowledge of AP e-cert program will be valuable. Demonstrated ability to work effectively in a team environment. Excellent communication and interpersonal skills.
Skills: Understanding of importing government requirements, strong
attention to detail with good verbal and written communication skills., ability to priorities urgent tasks, and analyse data and understand connections. Computer literacy (specifically SAP and Excel), problem solving, people skills good planning and time management skills.
