Shutdown Support | High-Volume Mobilisations | INX Experience Essential
We are currently seeking an experienced Site Administrator to support upcoming shutdown activities with a major client.
This is a fast-paced, high-volume administration role supporting shutdown mobilisations of 420+ personnel, so we’re looking for someone with previous site/shutdown administration experience who understands the demands of mobilisation and can hit the ground running.
If you're highly organised, confident across the INX suite and comfortable managing large volumes of bookings, mobilisations and administrative requests, we want to hear from you.

- 12–20 October 2026
- 29 October – 2 November 2026
The client typically completes
3–4 major shutdowns per year, providing further opportunities for experienced administrators who perform well.
The Role As the Site Administrator, you'll play a key role in ensuring shutdown personnel are mobilised efficiently and all associated administration is completed accurately and on time.
With
420+ personnel mobilised during each shutdown, you'll need to be comfortable working at pace, managing competing priorities and maintaining a high level of accuracy.
Your responsibilities will include:
- Managing and actioning requests through the maintenance inbox
- Processing a high volume of ad-hoc flight bookings
- Processing and coordinating new mobilisations
- Assisting with shutdown travel and accommodation bookings
- Supporting mobilisation requirements and personnel movements
- Updating employee and mobilisation information within relevant systems
- General site administration and data entry
- Maintaining accurate records, spreadsheets and documentation
- Monitoring outstanding mobilisation requirements
- Responding to administrative queries from workers and site personnel
- Working closely with site, maintenance and mobilisation teams
- Ensuring information is processed accurately within tight shutdown deadlines
What We're Looking For
To be considered, you'll ideally have demonstrated experience with:
- INX InFlight
- INX InTuition
- INX +Process
- Microsoft Excel
- High-volume mobilisation and travel coordination
- Site or shutdown administration
- Processing large volumes of data accurately
- Managing multiple competing priorities and deadlines
You'll also bring:
- Exceptional attention to detail
- Strong organisational and time-management skills
- Confidence working within a fast-paced environment
- Excellent written and verbal communication skills
- Ability to work autonomously and use initiative
- Strong problem-solving skills
- Ability to remain organised during peak mobilisation periods
- A reliable and proactive approach to work
Previous high-volume site or shutdown administration experience is essential.Who Will Suit This Role? We're looking for an administrator who
already understands shutdown mobilisation.
When you're coordinating the movement of
420+ personnel, accuracy and organisation are critical. You'll need to be comfortable handling a busy inbox, last-minute flight changes, new mobilisations and multiple requests simultaneously without losing attention to detail.
This role will particularly suit someone who enjoys a
busy, deadline-driven environment and is confident navigating INX systems without requiring extensive training.
