Job Duties:
Specifications 1. The duties of the Reference Library Assistant are as follows:
(a) To perform reference counter duties including handling requests for the manuscripts, rare books, vertical files and newspaper clippings, searching and fetching them from the closed stacks for readers' use and handling library materials on return;
(b) To answer simple reference enquiries, operate equipment and advise readers on the use of the equipment;
(c) To assist in the management of the library environment. To perform patrol duties, and maintain order and tidiness of the library;
(d) To perform sorting, shelving and shelf-reading duties of reference library materials; perform repair, replacement and withdrawal of reference library materials; maintain and compile library statistics;
(e) To process new reference library materials; assist in preparing indexes, subject lists and user guides for public reference;
(f) To arrange newspaper clippings for files and assist in the maintenance of vertical files including the preparation of classification labels and filing;
(g) To perform general clerical duties and assist in performing extension activities, such as subject talks, book displays and thematic exhibitions; handling the materials for publications exchange programme;
(h) To assist in handling ad hoc tasks at the Library, off-site reserve stacks outside the Library, other Government premises, and non-Government premises when necessary, as requested by supervisors. Travelling among above locations during working hours is required; and
(i) To perform any other duties as assigned by supervisors.
Requirements:
The Reference Library Assistant should:
(a) (i) have Level 2 or equivalent [see Note (1)] or above in five subjects, including Chinese Language, English Language and Mathematics, in the Hong Kong Diploma of Secondary Education Examination (HKDSEE), or equivalent; or (ii) have Level 2 [see Note (2)] / Grade E or above in five subjects, including Chinese Language, English Language and Mathematics, in the Hong Kong Certificate of Education Examination (HKCEE), or equivalent;
(b) preferably have at least one (1) year of relevant post-qualification full-time clerical work, library work and/or office related customer service experience in a cultural organisation (prior to the date of interview). Experience of working in a library will be an advantage;
(c) have good command of Cantonese, English and Putonghua;
(d) have good Chinese and English word processing skills and proficiency in the application of common business software including Word, Excel, etc;
(e) have knowledge of reference and information services in libraries; and
(f) have good communication and customer service skills.
Note (I): "Attained" in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in the HKDSEE are accepted as equivalent to Level 2 in the New Senior Secondary subjects in the HKDSEE. Note (2): 'Grade E' in Chinese Language and English Language (Syllabus B) in the HKCEE before 2007 are accepted administratively as comparable to 'Level 2' in Chinese Language and English Language in the 2007 HKCEE and henceforth.
